Booking Conditions

FunZone is a childcare service provided by Banstead Prep School for both the parents of the school and those who do not attend. Children are able to play in structured activities and in free play in a safe, secure and relaxed environment with a range of activities both indoor and outdoor, which are age specific. Once you have made your booking with Funzone at Banstead Prep we enter into an agreement together. Below are our booking conditions this and any other information exchanged between us form an agreement.

1. Payment

Payment of the deposit confirms everyone on the booking form accepts these booking conditions.

2. Payments

Payments are made through Paypal via our website. We accept childcare vouchers, you should allow 5 days for these to reach us, please quote FZ with your child’s name as reference.

3. Confirmation

You will receive a confirmation e-mail please check this carefully and ensure the dates and times are correct. Responsibility for all booking details lies with the person who made the booking. If you do make an error we will change it if we can, or refund you if we can’t if it is before 14 days of the start date of your booking. After 14 days normal cancellation and booking amendment terms will apply.

4. Changing Weeks/Days

We can change your dates, within the same season eg Summer, Christmas, Easter providing we have spaces and you request your change at least 10 working days before your child starts camp. If you have booked a full week you cannot move individual days to another week without paying the extra amount to cover individual day rates. Dates cannot be changed once the child has attended their first day, even where the weeks/days are not consecutive or on the same booking.

5. Cancellations

You may cancel a booking and receive a full refund if you do this within 14 days of your child’s start date at camp. After this time we are unable to offer a refund. If your child is ill, we will do what we can to offer you an alternative date if we have the space available but this is not a guarantee and we will only offer this on one occasion. If your child has been vomiting we ask that you do not bring them to FunZone for 48 hours after the last incident. This is as per the NHS guidelines and to ensure the health of all other children.

6. Photography/Video footage

We may take photographs and video footage at camp to use for training and promotional purposes. To exclude your child please inform us in writing prior to their start date at camp. Where possible, we will post photos to our social media platforms for parents to view, but please note we cannot guarantee your child will appear on these.

7. Health and Safety

In order to maintain appropriate standards of health and safety, children with certain medical or physical conditions or those who cannot demonstrate the required skill competence may not be allowed to participate in some activities. In such cases we will always provide alternative activities.

8. Medical Information

If full information about medical or physical conditions, or behavioural matters or any other additional needs are not provided at the time of booking it may result in the child being excluded from certain activities. In such circumstances we may have to cancel the booking and no refund will be paid. All information given will be treated in complete confidence. Parents must ensure that they or their nominated emergency contact is available to be contacted by telephone whilst their child is in our care.

9. Child Protection

Our staff have a duty to respond if they suspect a child in their care may be suffering from abuse, or if a child makes a disclosure about abuse. In this event staff will contact the Local Safeguarding Children’s Board and act on their advice.

10. Staff

All our staff have valid enhanced DBS checks. We have first aiders on site at all times including a paediatric first aider. We have teaching staff from the school on site at all times.

11. Liability

Funzone at Banstead Prep does not accept liability for personal injury or the death of any person unless directly caused by the proven negligence of the company or its servants, in this event our liability insurance provides cover of up to £5 million.

12. Personal Property

FunZone at Banstead Prep will not take responsibility for the loss or damage of any items of personal property brought onto the camp our insurance does not cover personal items. Please ensure all items are named. We will have a lost property box where you can locate missing items. Although children will be encouraged to wear aprons, clothes may get paint or glue or other substances on them. Please ensure your children wear appropriate clothing as will not be held responsible for damage caused to clothing from any activities.

13. Exclusions/Behaviour/Suitablility

FunZone at Banstead Prep reserves the right to decline any Booking or exclude any child for any reason at its absolute discretion, including persistent late collection and unruly behaviour (whether as a result of any illness, disability, social behavioural problem(s) or otherwise) . In the event of unruly behavious no refund will be made for days missed and no compensation will be made for any other costs or losses incurred as a result. We will not tolerate from any person, whether it be a parent or carer, bullying, aggressive behaviour, swearing, confrontational or threatening behaviour or violence, racism, sexism or behaviour intended to result in conflict. FunZone is a place of safety and security for children and staff and we reserve the right to ban anyone or their child exhibiting such behaviour with no refund.

FunZone aims to include all children and we will take reasonable measures to ensure that we are inclusive, however, if we feel that the needs of your child cannot be met we will discuss this with you and offer you a refund if a decision is made that our camp is not suitable. You agree and acknowledge that if Funzone at our absolute discretion deem that any adjustments (whether made by Us and/or You and/or the party member(s) in question) are not reasonable and/or are reasonable but are likely to adversely impact (eg, from a safety or any other similar perspective) on any other child) camp experience then our decision to decline the Booking or exclude a child is final and shall not be open to legal challenge. Any additional costs so incurred shall be entirely Your responsibility and no refund applies. You shall advise Us at the time of booking and immediately after booking fully in writing of Your child's name contact details and any requirements needs or personal circumstances that You reasonably consider may affect the child during the camp attendance including special dietary requirements illness disabilities any social behavioural problems (e.g, ADHD or any equivalent or similar or any other affliction that may render the child Incompatible as defined in section 3 that a child currently has or has recently experienced or any other such personal and/or sensitive information (Personal Information).

14. Programme and Activities

From time to time we may need to amend our activities, services, dates and venues for reasons, within or outside our control. Under no circumstances will there be a refund or compensation to the customer. Please note that not all activities appear on the timetable daily, therefore if you are booking individual days we cannot guarantee specific activities on particular days.

15. Surcharge

FunZone at Banstead Prep reserves the right to surcharge published prices if there is an increase in the rate of VAT above 20% prior to the commencement of the camp.

16. Hours

Standard camp are from 9am - 4pm. Breakfast club (8am - 9am) and After Camp Chill out (4pm-5.30pm) must be pre-booked in advance. Late pick up will result in a fine of £8.50 for every 15 minutes late, failure to pay this fine could mean that your child is excluded from future sessions even if you have paid.

20. Complaints

We are committed to ensuring that your child has the very best experience at our camp. If for any reason you have reason for complaint, please contact the camp director in the first instance. If you feel that your problem has not been resolved, please e-mail a detailed description of your concern to We will do everything we can to sort out any problems and this will be helped if you communicate to us in an open and honest way.

Refunds and compensation will only be made if Funzone at Banstead Prep is proven to have been in breach of these terms and conditions, and it is proven further that they were not capable of rectifying that breach and as a result the child was withdrawn from the camp.

21. Data Protection

FunZone at Banstead Prep acts as a Data Controller for the purposes of the Data Protection Act 1998. To process your booking we need to collect personal details about you and all the children on your booking. It is your responsibility to ensure that you have permission to pass on these details.

We would like to hold and use some of your details for future marketing purposes, for example, sending you our newsletter. Please let us know in writing as soon as possible if you do not want to receive future mailings from Funzone at Banstead Prep.
